Creating phone numbers in Chalkboard

Chalkboard works best with your team collaborating in it, but phone numbers are really what makes Chalkboard tick!

We've made it easy to create new numbers in Chalkboard in three simple steps outlined below so you can spend less time on admin, and more time on what you do best.

With multiple numbers, comes a whole host of different configurations - numbers can be shared with the team entirely, shared with specific groups of users or kept private to one user, the choice is yours.

What types of numbers can I create?

If you're in the UK, you can choose from:

  • Mobile numbers (07)
  • Mobile (inbound only)
  • Local numbers (01/02)

If you're in the US, you can choose from:

  • Local numbers (by state code)
  • Local number (inbound only)

You're not limited to one type of number per workspace, so you can add in as many types as you need to make sure business operates exactly how you need it.

How do I create a new number?

To create a new number in your workspace, simply:

  • Click Settings (cog at top right)
  • Select Manage workspace
  • Tap on Phone numbers
  • Hit Add a new number

Once you're there, you can:

  • Go ahead with our suggested number, or select Choose different number to find a better-suited number for your needs (US users can search by area code/region)
  • Add some personality with a name, icon and colour (or use our surprise me option if you're feeling lucky!)
  • Choose who you want to share the number with from your workspace users (including pending users) or skip this step for now.
How do I share a number?

So you've created a number, but maybe you skipped the step where you can choose who you want to share it with.

That's ok, you can still add users to numbers on demand.

Head to Manage workspace and select Phone numbers, then simply tap on the number you want to add users to and select Add users - its that simple!

You can use our multi-select tool to select everyone in the workspace or select specific users individually or by searching for their name.

Once you've added them, the number will become available to them immediately.

Can users have their own private number too?

Of course! Not all numbers were created equal, so sometimes you might have a need for users to have their own private number, as well as having access to some shared numbers.

You can pick and choose how you want phone numbers to be accessed any time, and by which users.

I've got one number, but it's not letting me add a second

It's likely you're subscribed by either Apple or Google, which doesn't allow you to add further billable items like additional phone numbers.

You'll need to migrate to direct billing to be able to add more numbers, you can follow the simple steps here to make the change.

How are additional phone numbers billed?

When you create a new number, you'll be pro-rata'd for the first month depending on when you added the number in your billing cycle.

After the initial pro-rata'd period, you'll always pay for the full month.

Note that you won't receive a credit for unused time if you remove a phone number part-way through your billing period, but you won't be billed again after removing it.
